UNDERGRADUATE GRADUATION PROJECT REGULATIONS
Article 1 - Definition
The Graduation Project is a research and design study carried out by final-year students, demonstrating their ability to effectively apply their knowledge and skills individually or in a team environment. The graduation project, which requires scientific and/or technical depth, is organized to be conducted during the final two semesters (7th and 8th semesters) of the undergraduate program. The graduation project is incorporated into our curriculum through the Software Engineering Design I and II courses.
Article 2 - Enrollment and Approval of the Software Engineering Design I Course
- In order for students (except in cases of exemption, such as horizontal/vertical transfers, etc.) to enroll in the SEN22401E Software Engineering Design I course, the following criteria must be met:
- Students must have successfully completed at least 160 ECTS credits and have a CGPA of 1.8 or higher. In addition, they must have passed all courses related to their intended project topic.
- Successful completion of the prerequisite courses for SEN22401E ‘Software Engineering Design I’ is required.
- Students must also have passed all 1st and 2nd year courses.
- Students who transferred laterally into the 1st or 2nd year and whose course equivalencies have been approved are also required to have passed all 1st and 2nd year courses.
- The following students:
- Those who transferred laterally into the 3rd year and whose course equivalencies have been approved,
- those who participated in Erasmus mobility during their 2nd year,
- those who transferred vertically (via vertical transfer), must have successfully completed a total of at least 110 ECTS credits from 1st and 2nd year courses.
- Apart from the conditions specified above, the academic advisor may recommend that the student not enroll in the Software Engineering Design I course.
b. Faculty members and instructors shall submit their proposed graduation project topics for the following semester to the Department Chair no later than the 10th week of the current semester. The topics submitted to the Department Chair shall then be announced to the students.
c. Assignment of Advisors for the Software Engineering Design I Course:
- The advisor for the Software Engineering Design I course shall be appointed from among the faculty members and instructors of the Department of Computer Engineering. Faculty members from other departments or those assigned through external appointments may be appointed as co-advisors.
- In cases where two or more students undertake an interdisciplinary joint Software Engineering Design I, the primary and co-advisors shall be appointed upon the joint recommendation of the respective Department Chairs.
d. Software Engineering Design I Enrollment and Approval Process:
- Under the coordination of the Department Chair, students are required to complete the Undergraduate Graduation Project Proposal Form (Annex-1) and submit it in three copies to the Department Chair no later than the 14th week of the Fall semester for projects to be taken in the Spring semester, and no later than the 14th week of the Spring semester for projects to be taken in the Fall semester. Following departmental approval, one copy of the Undergraduate Graduation Project Proposal Form shall be given to the student, and one copy to the thesis advisor. The list of all students approved to take the Software Engineering Design Course in the respective semester shall be announced by the Department Chair within the following week. Students whose project proposals are not approved must determine a new project topic within one week.
- The Proposal Form, signed by the advisor and the Department Chair, shall become valid for the student to enroll in SEN22401E Software Engineering Design I during the course registration period in the first week of the semester, provided that the student has fulfilled the required conditions (see Article 2.a) and obtained the approval of their academic advisor.
- Even if the Proposal Form has been approved and the student has fulfilled the required conditions, the academic advisor may withhold approval for the student’s enrollment in the Graduation Project course if there are deficiencies in essential technical courses or other issues that could significantly affect the success of the project.
- Students who have received departmental approval for the Undergraduate Graduation Project Proposal Form and have enrolled in the course are considered to have officially commenced their work.
Article 3 - In-Semester Work and Attendance Requirement
a. The Graduation Project shall be completed over two semesters (SEN22401E – Software Engineering Design I and SEN22402E – Software Engineering Design II) under the coordination of the assigned project advisor.
b. Students are required to attend at least 80% of the weekly work schedule for SEN22401E and SEN22402E , as determined by the Department Council.
Article 4 - Examination Committees and Examination Dates for Software Engineering Design I & II
a. Under the coordination of the Department Chair, examination committees shall be formed for Software Engineering Design I and Software Engineering Design II. These committees will be organized according to project topics and shall consist of at least three members. The most senior faculty members or the student’s advisor may be designated as the chair of the committee.
b. The composition of the Graduation Project examination committees shall be announced no later than 15 days prior to the examination date.
c. In the final examinations for Software Engineering Design I and II, if the student’s co-advisor serves as a committee member, only the grade given by the primary advisor shall be considered. The final grade shall be determined by calculating the average of the grades given by two of the three committee members.
d. Examinations that cannot be held on time due to compulsory reasons shall be postponed to the last day of the examination schedule under the coordination of the Department Chair.
Article 5 - End-of-Semester Evaluation for Software Engineering Design I
a. At the end of the semester in which the student is enrolled in the Software Engineering Design I course, the student shall prepare an end-of-semester evaluation report regarding their work, which must also be approved by their advisor. This report shall be submitted in a single copy to the project advisor.
b. The GSoftware Engineering Design I final examination consists of an oral presentation by the student, followed by a question-and-answer session.
c. The end-of-semester evaluation for Graduation Project I shall be conducted in accordance with the Software Engineering Design I End-of-Semester Evaluation Form (Annex-2) determined by the department. The final grade for Software Engineering Design I is determined based on the recommendation of the student’s advisor.
Of the total 100 points;
- Up to 80 points shall be awarded based on the evaluation of the project work, as jointly assessed by the advisor’s recommendation and the examination committee members.
- Up to 20 points shall be awarded based on the student’s attendance and engagement in the SEN22401E/SEN22402E Software Engineering Design I/II Weekly Work Schedule, as determined by the department and recommended by the advisor.
The signed minutes of the examination committee members regarding the awarded grades must be submitted to the Department Chair on the same day.
d. Students who successfully complete Software Engineering Design I shall become eligible to enroll in the Software Engineering Designt II course.
Article 6 - Software Engineering Design II Examination and Submission of the Final Project
a. In order to successfully complete the Software Engineering Design II course, students are required to present both a poster and an oral presentation.
b. Students who do not participate in the Software Engineering Design II Poster Presentations, which are organized by the department at the end of each semester, shall not be permitted to take the Final or Make-up examinations. Poster presentations shall be held during the final week of classes, in accordance with the academic calendar.
c. The Software Engineering Design II Final examination consists of an oral presentation by the student, followed by a question-and-answer session.
d. The final grade for Software Engineering DesignII shall be calculated as the average of the grades given by the examination committee members. Additionally, students’ participation and engagement in the SEN22401E-SEN22402E Software Engineering Design I-II Weekly Work Schedule, as determined by the Department Council, shall also be taken into consideration in the grading process.
e.The results of the evaluation, conducted in accordance with the Undergraduate Software Engineering Design II Final Evaluation Form (Annex-4), shall be signed by the Chair of the Examination Committee and submitted to the Department Chair on the same day.
f. The Graduation Project Report, prepared in compliance with the Undergraduate Graduation Project Writing Guidelines (Annex-3), must be submitted in spiral-bound format to the relevant examination committee members no later than the final week of the semester, prior to the poster presentation.
g. The list of students eligible to take the final examination shall be announced by the Department Chair on the next business day following the poster presentations.
h. Students who successfully pass the Graduation Project II Final examination must submit the final version of their Graduation Project Report, approved by their advisor and signed by all examination committee members, in hardbound format to their advisor. Failure to submit the signed and hardbound report will result in the student’s grade being recorded as “Fail” in the system.
Article 7 - Enforcement
The Undergraduate Graduation Project Principles, consisting of 7 articles and 4 Annexes, were accepted with the decision of FSMVU Faculty of Engineering Faculty Board dated 04.04.2018 and numbered 20 - 09 and put into force to be implemented as of the Fall semester of 2018 - 2019 Academic Year.
